Fossa Vets · Field notes
Three recordings · Oct 25–26, 2026 · Houston area

Two days, three clinics, and one clear need.

Sai (founder of Fossa Vets) walks his cousin Dr. Nagaraju Kotagiri, who owns three vet clinics and is opening an urgent care, through an all-in-one growth package. Over an evening review, a morning drive and a first shadowing session at Aldine, one need keeps coming up: after-hours and overflow calls.

ⓘThe recordings mix English and Telugu. Transcripts are partial, speaker labels are inferred, and anything marked unverified should not be treated as fact. About the transcript quality.

The short version

Nagaraju is unhappy with his current marketing vendor ("taking money but not doing anything") and has no after-hours phone system. Sai's AI receptionist, which books into Vetspire and warm-transfers to staff with a summary, got the strongest reaction: "That's what I need." This week Sai is shadowing each clinic to map its call flow, because every clinic runs on its own primary doctor's protocols.

Evening review session at home

Sun Oct 25 · ~9:12 PM CDT25:58Sai, Nagaraju · AI demo voice 13:28–15:40
  • Urgent-care landing page. A new freelancer built it as a temporary single WordPress page for "Q Veterinary Hospital and Urgent Care" unverified. Sai gave layout feedback.
  • Package buckets. Website, SEO and AI search (AEO) form one bucket that needs domain access. Google Ads needs separate access, and GBP goes with Google Ads (as discussed).
  • Google Business Profile. The photos are old. Posts fade after about a week, so post often and aim for 100+ fresh photos. "Profile strength: good" was read as meaning the profile is filled in.
  • Content wish list. Nagaraju wants lots of AI-written posts on heartworm disease, vaccines, emergencies and hit-by-car cases.
  • Just Holler demo. The AI plays "Elena's Electric", triages a power-loss call and books Tuesday 2:00 PM.
  • After hours today. Calls forward to Nagaraju's own phone. Closing time was heard as 7, 7:30 or 8 unverified.
  • Last GBP posting heard as "8 years ago" unverified. Someone has been "using AI tools for 1–2 months" unverified.
Decisions
DecidedTake fresh photos and post them "tomorrow."
DecidedClinic visits: Porter on Wednesday (Nagaraju's day off), Eastex on Thursday. Aldine the next morning, which Recordings 2 and 3 confirm.

Morning at home, then the drive to Aldine

Mon Oct 26 · ~10:13 AM CDT43:34Sai, Nagaraju, car voice assistant, clinic staff
  • After hours is the strongest need. "Definitely 100%, totally useful… we have no system." Callers don't know closing times, and the clinic is closed by about 7:30–8.
  • Warm transfer. The AI books after hours, or hands off to staff with "here's a brief summary… press 1 to answer." Nagaraju: "That's what I need."
  • Fast lookup. The AI pulls up the client from the phone number in the background, within about the first 10 seconds.
  • No-shows & rescheduling. A 30% no-show rate unverified, walk-ins, and offering a sister clinic or a different day when a slot is full.
  • Vetspire. It's cloud-based, and there are printing and network issues. "Vetspire can integrate… API keys we can create."
  • Price & competitors. Someone charges "1500 just for SEO" unverified. Sai contrasts himself, as a start-up, with PostcardMania (20–30 years old, also heard as 10–15 unverified; mainly printed mailers).
  • Pitch. No contract, a 2–4 month trial, "I'll show you the difference."
  • Arrival. Nagaraju introduces Sai to staff as his software-engineer cousin building an AI that handles calls and refills.
Decisions
DecidedSai sits in at Aldine today, front and back, to learn the call flow. What "tomorrow" refers to is unclear.

On-site at Aldine Mail Route Animal Hospital

Mon Oct 26 · ~10:57 AM CDT11:05Nagaraju, Sai, Aldine manager, staff
  • Learn from everyone. The manager knows Aldine's flow, not the other clinics', so focus on Aldine. Ask Dr. Sahithi (in surgery) how client calls should be handled and what the AI's scope should be.
  • Everyone answers phones. When the front is busy, the phone rings everywhere and the back picks up. The receptionist also handles walk-ins.
  • Spam-call AI (new request). Screen calls to Nagaraju's own cell phone and forward only real humans. Caller ID shows "valid phone number" or "potential spam."
  • Protocols follow the doctor. What to tell clients, where meds are given and surgery prices all vary by the primary doctor, so AI scripts must be per-clinic. Aldine has two doctors.
  • Liability. "The clinic runs on the doctor's license," so the AI must stay inside approved protocols.
  • Owner-driven. Nagaraju runs a new clinic hands-on for a while, then backs off. He said two months, or possibly two weeks unverified.
  • Mentioned: Ryan, Dr. Sahithi, and "Trish" unverified. Possibly also email-triggered calling unverified.
Decisions
DecidedSai sits at the front today to observe. Ryan is the go-to person for introductions.

In his words

What Nagaraju wants

His stated asks across all three recordings, strongest first.

01 · THE #1 PAIN

An after-hours system that books and hands off

There's nothing after hours today: calls forward to his own phone. He wants the AI to book appointments and warm-transfer to staff with a short summary.

"After hours is definitely 100%, totally useful… we have no system." · "That's awesome. That's what I need."
02

A Google profile that's actually maintained

Fresh photos instead of old ones, and frequent posts.

"He is taking money but not doing anything."
03

Lots of AI-written posts

Topics he named: heartworm disease, vaccines, emergencies, hit by car.

"Create a lot of posts, good AI-generated."
04

Spam screening for his own phone

An AI that answers and forwards only real humans. This is a new request, and it isn't clear whether it's part of the package.

"You also need to create an AI for my phone too — spam calls."
05

Flows built per clinic, per doctor

He wants Sai to learn from the manager, from Dr. Sahithi and from staff, not just from him, and to stay inside each doctor's protocols.

"My perception could be different from other people's."

  • Speaker labels are inferred. There was no speaker diarization, so every "who said it" comes from context.
  • English is mostly usable. Much of the Telugu came out garbled; those parts were marked unclear and nothing was guessed.
  • Recording 2 has about 20.7 minutes with no speech during the drive (road noise and navigation prompts only).
  • Method. Whisper large-v3 transcripts, run on CPU. ElevenLabs Scribe was attempted on Oct 26 and returned an invalid-API-key error on all three files.
  • Items tagged unverified were marked uncertain in the source notes. Hover over a tag to see why.
